We are seeking a professional and welcoming Receptionist/Office Assistant to serve as the face of our company.
Your responsibilities will include managing daily office operations, notary assistance, client communication, and scheduling, as well as general administrative support.
This position begins as part-time, with the opportunity to transition to a full-time role.
Core Responsibilities
Communication & Visitor Services: Serve as the primary point of contact by welcoming visitors with a friendly face, directing them to specific areas, and offering refreshments. Efficiently manage all communication channels, including phone, email, and mail.
Notarial Acts: Act as a commissioned notary to handle office walk-ins, basic notarizations, and general notary work.
Sales, Scheduling & Marketing: Manage appointment calendars, process client checkouts according to company payment protocols, and actively promote business growth. This includes cross-selling or upselling services like copies, scanning, faxing, and shipping, as well as encouraging clients to leave Google reviews. Support marketing efforts for client acquisition as a top priority.
Office Administration & Supply Management: Work directly with the Office Manager to handle administrative tasks, manage outstanding invoices, and assist with events. Maintain a clean, organized front desk and refreshment area, monitor supply levels, and submit requisition forms via the company portal when replenishments are required.
Team Support: Serve as a reliable backup and practical resource for other staff within the office.
